Selecting Documents to View

Once the retrieval system completes its search, it provides a numbered list of documents from which to choose. If the system doesn't find anything that matches your search information, it gives you an error message similar to "No Records Found."

NoteNote—Some customer implementations are configured to display documents immediately when a search returns a single item. If the service is configured this way and only a single item is returned, none of the elements in this section apply.

 

Each document entry includes all of its index values, such as a customer name, invoice/report date, account number, etc. Each numbered entry also includes a link to view the document and optionally, an unselected check box to its left. The total number of returned documents appears at the bottom of the list, along with the number of documents appearing on the current page. For example:

"Documents 1 to 15 of 100 (Partial Results)"

 

Functional search buttons are also located at the right in the Document tools section  of each search results page.

 

Note Note—Some implementations do not allow end users to choose whether or not to view the document in a separate window.

 

Warning Warning—Clicking the link next to a document only retrieves that single document, even if multiple documents' check boxes are selected. To view all documents with selected check boxes, be sure to click the View Selected link in the Document tools section.

 

If you make a mistake when selecting documents to view, click the All check box to de-select all the check boxes. If you want to view another page of hit list results from a partial list, click the Show n of n link at the bottom of the results. Once you are on a second or later page in the list, you can move between pages using the Show n of n.

 

NoteNote—Some customer implementations are configured to display document notes. If configured this way, a check box appears in the View options section to the right of the screen. Check this box if you want to view or add any notes attached to the document. See Document Notes for details. Optionally, depending on the setup, one of the indexes may show whether there are any notes currently associated with the given document. The title of this index would read something like "Notes" or "Has Notes" and its value is either y or n.

 

When using Internet Explorer®, you may see an interim page after selecting a hit list item similar to below:

Click the link to view the document.

 

To perform another search after reviewing a hit list and any documents within it, click the New search button at the bottom of the page to take you back to the query screen.

Warning Warning—Be sure to use the New search button to perform another query, which preserves previously entered search criteria. Clicking the browser's Back button causes a cache error and loses your chosen criteria.
